How to make this loop work
Marketing ROI ties three things together: Expenses (what you spent), Leads (who came in), and Team Enrollments (who converted). For each marketing dollar to count toward a source, tag your expenses with the matching source in their notes — e.g., add [instagram], [tiktok], or [facebook] to expense notes. The dashboard auto-detects these tags.

Compliance Hub
CE & Training
Post CE classes, IRS trainings, and newsletters for your team, and set each preparer's hours. Preparers see these in their own Compliance Hub.

Everything you need to stay IRS-compliant as an Authorized e-File Provider — credentials, publications, security plan, due-diligence checklists, and PTIN holder onboarding. The IRS requires authorized e-file providers to follow e-file rules and security standards.

Data Breach / Security Incident Process
If you suspect a data breach, identity theft, or unauthorized access to client data — act immediately. The FTC Safeguards Rule requires you to have a documented incident response plan.
1
Contain the breach
Disconnect affected systems. Change passwords. Stop further access.
2
Contact the IRS Stakeholder Liaison
Report data theft to IRS within 24 hours. Find local liaison: irs.gov stakeholder liaisons
3
Notify affected clients
Within 30-60 days depending on state laws. Provide steps for clients to protect themselves (credit freeze, IP PIN, IRS Identity Theft Affidavit Form 14039).
4
Report to state authorities
All 50 states require data breach notification. Check your state's Attorney General website.
5
Update your WISP
Document the incident, root cause, and what's been changed to prevent recurrence.

PTIN Resource Hub
A curated library of links your team uses daily — IRS forms, software portals, bank products, CE providers, MST internal tools. Share the URL with all your PTIN holders.
Resource Hub URL (where you hosted MST_Resource_Hub.html)
Setup: Upload MST_Resource_Hub.html to Netlify (drag-and-drop the file or its folder), get the URL, paste it above. Then send the URL to your team — they can bookmark it.
Bookkeeping

Your recurring book of business — monthly retainers, packages, and hourly clients, tracked year-round alongside tax. Assign work to your team, run each month's close, and hand finished books to the tax side.

Services
Tax Resolution & Advisory

Your premium, year-round tax work — back taxes, installment agreements, penalty abatement, offers in compromise, audit representation, planning, and ITIN applications. Track every engagement, fee, and IRS deadline in one pipeline.

Messages
Team Directory

Everyone on the MST team — roles, titles, and contact info in one place. Visible to the whole team; only you (ERO) can edit.

Client Portal & Messages

This is your clients’ view — what each client sees in their portal. Status here mirrors what you set in My Clients (your source of truth). Use this tab to see where every client stands and to read & reply to their portal messages.

Media
The Vault

Everything the team sells with, in one place — flyers, business cards, captions, prompts, ebooks, links and challenges. What you spend on marketing is not here; that stays in Expenses, where the Marketing ROI panel reads it.

When applicants fill out your PTIN application form, this pulls them into your dashboard automatically as new candidates.

Client Portal

Everything on the client side of the portal, in one place: who has access and the Case ID they sign in with, the announcements across the top of their dashboard, what they can redeem points for, and what a referral pays. Changes here are live the moment you save — every client sees them on their next refresh.

Messaging lives in Communication. Client threads stay in one inbox so there is only ever one unread count.

Where the numbers come from
Gross Revenue = sum of all Tax Prep Fees from payroll line items (submitted + paid periods).
Commissions to Team = total commissions calculated for submitted/paid periods.
Practice Net Revenue = Gross Revenue − Commissions − Chargebacks.
Bank products, unpaid balances, and chargebacks are entered manually here.
Payroll & Commission Payouts

Enter or import the returns filed per preparer, grouped by PTIN. Auto-calculates each PTIN holder's commission and generates statements you can send to your team.

Active Payroll Period
No payroll periods yet
Click + New Period above to create your first payroll period (e.g. "Through 3/25"), then add line items for each return filed.
$
How this works
Enter each return as a line item (or bulk-paste from a spreadsheet). Returns are auto-grouped by PTIN. For each PTIN, the dashboard looks up the preparer's name and commission split from their profile, then calculates: Total Prep Fees × Commission Split % = Commission Owed. Click Send Statement on any PTIN to generate their personalized payout summary.
Dashboard & season

Your dashboard changes with the season. Rename any phase or section here — the wording is yours, the behaviour stays the same.

My Profile

Your account details. Changes save to your sign-in and update everywhere — the header, your returns, and team records — so nothing gets overwritten next time you sign in.

Season Settings

Update your season goal, split percentage, season dates, and season name here. Changes apply instantly across the entire dashboard and are saved automatically.

Season Net Goal
The total net amount you want to earn this season. The progress bar and KPIs track toward this number.
Current Goal
—
net target
Enter the dollar amount you want to net this season (before taxes).
Documents you ask every client for
The standing list. Every client starts with all of these marked as waiting, and the chase desk works from it. Anything one client alone needs is added on their own case file instead.
Google Drive folders
A bookmark per client, so the case file can put a link to their folder on screen. These are links only — nothing is uploaded or deleted in Drive from here.
Commissions
One number per person, and it is the only one. Set it here or on their PTIN record — it is the same number — and it follows into every case file, every payout and every earnings screen.
The service menu
Two decisions per service: who sets the price, and how the preparer gets paid. A firm price is locked and earns them a referral fee because you deliver the work; a preparer price lets them charge what the client will bear, never below the floor for their tier, and earns them their ordinary split. Everything on the Services tab reads these two rows.
Preparer tiers
A tier decides one thing — how far below your suggested price that person is allowed to go. Set the floors once per service and a new hire inherits them the day you add her.
Signatures before filing
Whether Gina holds a return until the Form 8879 and any required consent are on record. Anyone can still file over the hold, and every override is logged here with a name against it.
What you verify for a new preparer
The things only you can confirm. They appear on every preparer’s set-up list as waiting on the firm — read-only, so they can see it is not on them. Rename them, add your own, or take one off the list entirely.
When Gina can clear a return
Gina runs six due-diligence checks. Until now a return that passed every one of them still sat in a processing hold, because only your own click wrote the word cleared — and nothing on screen said so.
Timing real returns
Practice returns are always timed — that is what the lab is for. This is about everything else.
Season Target On My Dashboard
Whether your target sits at the top of your dashboard. Hiding it changes nothing else — it still counts your returns, it still shows in Settings, and it still goes out in your morning brief. This is your own setting.
On your dashboard
—

MST Live Bar

Season Name
Optional. Leave it blank and the header shows the tax year on its own, which is the number printed on the return. Only give it a name if you call your season something else internally — avoid putting a year in it, or the header and the year picker will disagree.

This will show in the header tagline.

Season Targets
A season is counted in returns, not just dollars. Set how many you want funded, filed and on the books, and every screen measures against it.
Preparer Goals
Each preparer gets their own net goal and funded-return target. When they sign in, their Season Overview measures against their numbers instead of the firm's. Their split is the one on their PTIN record — change it in PTIN Holders and it follows here and into their own Settings.

Every client gets a case ID you can search and reference on invoices. Pick the format before the season starts — changing it later leaves existing IDs alone.
